Launching your club
Setting up a club on UniClubs takes an afternoon, and you can do it at your own pace. Your club starts as a draft that only your team can see. Nothing goes public until UniClubs has approved it and you press GO LIVE yourself.
The route at a glance
Everyone follows the same spine. The only forks are whether you offer memberships and whether you already have members to bring over.
Step by step
Create your club
Go to the launch page, click Start your club now, and work through the three-step form:
- Your club — university, club name, URL (the slug in your club’s web address), and category.
- About — a short description plus optional website, Instagram, and LinkedIn.
- You — your role in the club, and the official contact UniClubs should reach (never shown publicly).
You become the club’s first admin and land on your club’s dashboard, where a Launch Checklist tracks what’s left.
Fill in your profile and branding
Under Settings → General, complete your name, description, about text, category, and contact details. Under Settings → Branding, upload your logo and banner.
Do this first no matter what kind of club you are. It’s what students see on your club page, and the description, logo, and official contact are required before you can go live.
Start UniClubs Pay early
If you’ll ever charge for memberships or tickets, start UniClubs Pay now, right in Settings → Payments. Filling it in takes about 10 minutes, and the check behind it usually takes a working day, so let it run while you set up everything else. It isn’t required to go live, since free events and free tiers work without it.
Create your membership tiers
No memberships? Skip this step and the next.
Otherwise, create your tiers under Members → Membership Tiers. A tier can be free or paid, lifetime, fixed-date, or rolling, open to anyone or approval-only, and can require a phone number or a verified university email. See Membership tiers for every setting.
Also create a separate board tier and set it inactive, so it’s hidden and nobody can join it publicly. Assign your board to it yourself; that way they’re never locked out of members-only events. See the staff-tier trick for why it should be priced at 1 rather than 0.
Import your existing members
Only for established clubs that already have members. Create your tiers first, because the import asks which tier each person goes into.
Under Members → Import, upload a CSV or Excel file with:
- email — student or private address. Whichever one matches their UniClubs account, they get the membership.
- membership tier — you’ll match the names in your file to your UniClubs tiers.
- start date (optional) — when they originally joined.
Imported members count as already paid. Anyone without an account yet shows up under Members → Invitations until they sign up. On rolling tiers the start date also sets when the membership runs out, so an old date can import someone as already expired. On lifetime and fixed-date tiers it’s only for display. More in Moving to UniClubs.
Add your board as staff
Under Members → Staff, add the rest of your board by email and give each person a role (Admin, Recruiter, or Viewer) plus an optional title like “President”. Imported members appear under Members → All Members. See Members & staff.
Create your first event
Pick the registration type carefully, since it decides what students experience: no registration, first come, first served, application required, ticketed, or external. If you restrict sign-up to members, check you actually have a tier that qualifies. Creating events covers the rest.
Request approval and go live
Back on the dashboard, the Launch Checklist shows what’s missing. Once the required items are done, click Request approval. UniClubs reviews your club and either approves it or leaves a note on the checklist saying what to change.
Once you’re approved, GO LIVE unlocks. Press it whenever you’re ready. Launch day is yours to choose.
Optional extras
None of these are needed to launch, but they’re worth a look once you’re live:
- QR Codes — trackable codes for flyers and posters that point to an event, your club page, or any link, so you can see which channel brings people in.
- Partners — your directory of partner companies and partner clubs, reusable across events.
- Finance → Discount Codes — codes for membership and ticket discounts. See Payments & discounts.
