Communicating with members
UniClubs handles the routine messaging around events and memberships for you, and connects your WhatsApp community. It is not a mass-email newsletter tool — here’s what it does do, so you know what to reach for.
WhatsApp auto-sync
Link your WhatsApp group once and membership drives it. Connect the club’s group in Settings → WhatsApp, then attach a group to a membership tier. New members in that tier are added to the right chat automatically — no collecting numbers, no manual invites. This is the single biggest time-saver most boards don’t set up.
Why the integration beats a shared invite link. You have two options for getting members into WhatsApp:
- Drop a group invite link into a tier’s welcome email — simplest, but any link can be forwarded, screenshotted, or leaked, letting non-members into your group.
- Use the integration — keep the group private with no public link at all, and our bot pulls each new member in directly. Nothing to leak, and only real members ever get added.
Messages UniClubs sends for you
You don’t write these each time — they fire off the right action:
- Welcome email — a custom message you set per tier, sent when a membership activates.
- Invitations — role and membership invitations (including free-membership invites) go out as emails.
- Payment reminders — nudge members with a pending payment from the Finance area.
- Event confirmations, status changes, reminders, and cancellations — sent to registrants automatically; when you cancel an event you choose whether to notify everyone.
- Resend a ticket — re-send an attendee their ticket email on request.
What UniClubs is not
There’s no “email all my members” broadcast composer in the club panel. For a genuine newsletter or announcement blast, use your WhatsApp group or your own mailing tool. UniClubs’ emails are tied to specific actions (a decision, a payment, an event), which is what keeps them trusted and out of spam folders.
